Employment Resources, Inc., a Madison-based nonprofit agency that advances the employment, health and financial security of people with disabilities. ERI seeks a full-time Office Manager with exceptional organizational, analytical, communication, and people skills to be the first point of contact with ERI customers. Join us to assist our team in providing the most effective services for people with disabilities and ensure smooth day-to-day operations.

We require top-notch customer service and administrative support to respond to consumer inquiries, implement efficient office processes, manage correspondence, coordinate meetings, complete invoices and maintain accurate service data. The Office Manager is responsible for the following types of work:

  • answering phones,
  • filing,
  • performing special projects such as direct mail projects,
  • proofreading and editing,
  • representing the agency at conferences and other events,
  • and other office related work.

This position is also responsible for coordinating all details for meetings and trainings held at ERI's office or other locations. Some statewide travel is required. The person in this position will be working with adults, youth, and their families.

This position is an in-person position located at our Madison, Wisconsin office.

Ideally, this person will have:

  • Interest in understanding services that assist individuals with disabilities to enhance their financial security, employment, and self-sufficiency;
  • Ability to pay attention to details to develop, implement, and continuously improve administrative processes, data integrity, and service efficiencies;
  • Marketing and outreach skills; and
  • Talent for managing multiple responsibilities, organizing information, and communicating effectively with ERI staff, partners and customers.

Responsibilities:

  • Serve as the first point of contact for visitors, clients, and vendors, providing exceptional customer service and ensuring a welcoming environment.
  • Manage office supplies inventory, place orders, and maintain appropriate stock levels to support daily operations.
  • Coordinate office maintenance, repairs, and cleaning services to ensure a safe and comfortable working environment.
  • Oversee scheduling and coordination of meetings, conferences, and events, including booking venues, arranging catering, and preparing necessary materials.
  • Handle incoming and outgoing correspondence, including emails, phone calls, and mail, and redirect communications as appropriate.
  • Maintain accurate records, databases, and filing systems, ensuring confidentiality and compliance with company policies.
  • Assist with human resources tasks such as coordinating interviews, onboarding new employees, and maintaining personnel records.
  • Assist with special projects and initiatives as assigned by senior management.

Minimum Qualifications:

  • Associate degree, or relevant work experience, or certifications. ERI values direct life experience with this type of work and encourages applicants with diverse backgrounds to apply.
  • Five or more years of experience providing administrative management with varied responsibilities to include communications, financial and human resource tasks, as well as working with managers, vendors and clients.
  • Excellent written and verbal communication skills.
  • Advanced computer and software skills required; proficiency with Microsoft products to include Word, Excel, PowerPoint and Outlook, as well as Teams and Zoom. Experience with Salesforce or other comparable customer management platforms.
  • Knowledge of best practices, or willingness to learn, regarding person-centered, strength-based interactions with people who have complex disabilities or mental health needs, including the impact of trauma on their lives.
  • Ability to focus on an open workspace surrounded by moderate activity and interruptions.
  • Knowledge of legal regulations, or willingness to learn, related to confidentiality and privacy requirements, and the ability to always maintain confidentiality and security.
  • Excellent attention to detail while working on multiple tasks.
  • Strong math and financial aptitude. Experience with invoicing preferred.
  • Ability to use general office equipment and conduct basic office equipment troubleshooting.
  • Ability to work independently with little supervision, as well as working collaboratively with others.
  • Ability to prioritize and continually meet numerous deadlines for high-volume tasks.
  • Ability to work and communicate with a diverse group of people and businesses, and adapt communication styles accordingly.
  • Pass and maintain required background and security clearance status.
  • Ability to travel within Wisconsin.
